Policies & Procedures

To ensure the best quality food and service, we kindly ask that events be booked at least 10 (ten) calendar days in advance. We understand events arise unexpectedly and we will do our best to accommodate your needs, however we cannot guarantee all menu options will be available for events booked less than 7 (seven) calendar days prior to the event date. A 15% or $50 (whichever is greater) late order fee will be applied for all orders placed less than 12:00 PM 5 (five) calendar days prior to the event date.


Guest Counts & Final Menu

We ask that a tentative final guest count count is provided to our Team at least 7 (seven) calendar days before the date of your event, and a final count by 12pm (noon) 3 (three) business days before the event date. For billing purposes, this guest count will serve as the minimum number of attendees on your final invoice. Should your event include last minute attendees that require extra meal preparation, our Team will do our best to accommodate based on product and labor availability. The number of additional guests or meals will then be added to your final invoice.


Event Time

Events are billed in four-hour increments. Events exceeding the four-hour limit may be subject to additional service fees of $25 per staff member, per hour.


Pricing

All published and quoted prices are subject to change without notice. Some prices are quoted based on current market prices and may fluctuate accordingly. Policy and menu are subject to change without notice.


Cancellation

If you must cancel a previously planned event, please contact our Catering Team at (262) 887-0269 as soon as possible to avoid late charges. Cancellations not submitted prior to noon (12pm) three business days before the event will be assessed 100% of the event charge. If the event date is rescheduled, 50% of the original event will be charged.


Severe Weather Cancellation

In the case of inclement weather, Purple Plate Catering will defer to university guidance regarding the cancellation of events on campus. If the University posts a cancellation due to weather, we will adhere to their announcement and automatically cancel your catered event at a 100% refund if your event reschedules. If no arrangements have been made to reschedule within 3 (three) business days, there will be a charge of 50% of the total cost prior to cancellation. Please note if your event is still being held and the university has closed, we cannot accommodate your event. Our Catering Team will do their best to reach out to each Primary Point of Contact (person responsible for communicating with Catering Team) to confirm cancellations and to reschedule the canceled events if needed. Purple Plate Catering is not responsible for signage or communication to individual attendees for cancelled events due to inclement weather.


Billing and Payment

To streamline the process, we kindly request payment information be provided at the time of booking or at least 7 (seven) calendar days prior to your event. Credit Card payments are subject to a 3.5% fee, while checks and cash payments are accepted with a credit card held on file. All invoices must be paid in full 3 (three) business days in advance. For off-campus partners or events, we ask for a credit card to be held on file at the time of booking. A 50% deposit is required 7 (seven) calendar days in advance, with the remaining balance paid in full on the day of your event.


Tax Exempt

We request tax-exempt forms be emailed to catering@uww.edu at least 7 (seven) calendar days prior to the event. Failure to provide Catering staff with tax exempt documentation prior to the day of the event may result in being charged sales tax. It is not the responsibility of Purple Plate Catering to ask for this documentation or postpone normal billing procedures to obtain tax exemption documentation.


Serviceware and China

Disposable serviceware will be furnished as accompaniment to all items purchased. Some exceptions apply to orders being picked up. China and glassware are available for an additional charge of up to $1.99 per person for events held in buildings other than the University Center. Please discuss with your Catering team about the specific needs for your event and how we can best accommodate your needs. Should you choose to utilize equipment, serviceware, china, or glassware currently not in inventory of the University or Purple Plate Catering, rental fees may apply and will be charged to the guest.


Linen

Tablecloths and linen napkins are also supplied for guest rounds when a served (plated) meal is purchased. Tablecloths for non-food tables are available for up to an additional $2.50 per table and are available in black or white. Additional linen napkins are available at a variable rate depending on the size, color, and quantity. In order to ensure your linens arrive promptly and correctly, final guest counts and number of tables must be confirmed and ordered at least 10 (ten) calendar days prior to your event. Specialty linens are available for an additional fee and must be ordered at least 14 (fourteen) calendar days prior to your event. Please contact your Catering team for details and more information.


Meeting Room and Equipment

Please reserve all non-food related equipment by contacting the Building Operations at UW-Whitewater at (262) 472-1175. This will include room reservation, setup and room configuration, audio visual, and other general information. Chartwells is not responsible to provide, set up, or remove equipment reserved through event services.
Please ensure a food-staging area and service tables are reserved when a kitchen facility is not available. Equipment must be set up and venue must be unlocked two hours prior to the start of the event. A fee of $25.00 may be applied to your contract should we need to return a second time for a delivery or pick up, or in cases of no access to the building or room location stated in the contract.


Food Safety

Food safety and sanitation is a Chartwells priority. Any unused food remains the property of Chartwells Catering and cannot be removed from an event in accordance with state health regulations. All condiments and disposables also remain the property of Chartwells Catering.


Special Diets

We understand that some of your guests may have special dietary needs. Special diets are accommodated upon request; we kindly request that your needs be submitted no later than 7 (seven) calendar days prior to the event. Purple Plate Catering cannot guarantee dietary accommodations made later than (3) three business days prior to your event. Depending on which types of accommodations are needed, additional fees may apply to adjusted meals.


Catering Staff

All buffet and plated meals include adequate wait staff. Should you desire additional servers, or for an event that attendants are not assigned, we have staff available at $25 per staff member per hour.


Outdoor Events

An additional set up fee may be applied to events taking place outdoors.


Delivery & Pick-Up Orders

There is no delivery fee for catering services held on campus. Catering orders will include necessary disposable utensils, dinnerware, and condiments in quantities consistent with your order. To avoid a delivery fee for off-campus events, clients may pick up orders at pre-determined and agreed upon location. Pick-up orders are limited to disposableware only.


Calorie Counts

2000 calories a day is used for general nutrition advice, but calorie needs vary. Additional nutrition information available upon request.
